Reading your finance dashboard

Understand the outstanding, overdue, paid and draft totals, see contractor payouts beside your income, and know which number to act on first.

The dashboard exists so that “how is the business doing” is a glance rather than an afternoon with a spreadsheet.

What each number means

  • Outstanding — invoices sent and not yet paid. This is the money owed to you.
  • Overdue — the subset of outstanding that has passed its due date. This is the money that needs chasing.
  • Paid — what has settled.
  • Draft — invoices you have built but not sent. Work you have done and not yet asked to be paid for.
  • Paid out — what you have sent to contractors.

Step by step

  1. Work as normal — Raise invoices, mark them paid, record payouts. There is nothing extra to maintain.
  2. Open the dashboard — Everything rolls up automatically, converted to your home currency, with a recent-invoices view for the latest activity.
  3. Act on what it flags — Chase overdue first, then send the drafts. Those two moves are usually the whole of a Monday morning’s admin.

Keeping it truthful

The dashboard is only as accurate as the statuses behind it. Marking invoices paid when the money arrives — rather than in a batch at month end — is what keeps the overdue figure worth trusting.

There is no report to run

The dashboard is live. Everything rolls up from the invoices and payouts you have already recorded, so it is current the moment you open it.

Counts sit next to totals for a reason

Each figure shows how many invoices are behind it. One overdue invoice for a large amount is a different problem from nine small ones.

Everything is converted to your home currency

Totals across currencies add up cleanly because they are converted for you — which also means they are indicative rather than what banked.

Draft totals are money you have not asked for yet

A large draft figure usually means finished work that has not been sent. It is the fastest win on the whole dashboard.

Payouts are what make it the real picture

Contractor payouts sit beside income, so what you are looking at is closer to net than to gross revenue.
